Annex 2. Technical and Organizational Measures

This Annex describes the technical and organizational measures implemented by HL Hunt to protect Personal Data and, where the SCCs apply, completes Annex II of the SCCs.

Control Domain Measures
Encryption in transit All connections between End User devices, Customer systems, and the Services are encrypted using TLS 1.2 or higher with modern cipher suites. Internal service-to-service communication within HL Hunt's environment is encrypted.
Encryption at rest Verification Records, including Document Images, Selfie Data, and Biometric Data, are encrypted at rest using AES-256 or an equivalent industry-standard algorithm. Encryption keys are managed through a dedicated key management service with access restricted to authorized systems and personnel.
Physical access control The Services are hosted in third-party data centers that maintain physical security controls including perimeter security, badge-controlled access, visitor logging, and video surveillance, and that hold recognized security certifications.
System access control Access to production systems requires unique user credentials and multi-factor authentication. Access is granted on a least-privilege basis, is reviewed periodically, and is revoked promptly upon role change or termination. Shared accounts are prohibited for production access.
Data access control Access to Verification Records is limited to personnel with a documented operational need. Customer data is logically segregated by account. All access to Verification Records by HL Hunt personnel is logged.
Logging and monitoring Security-relevant events, including authentication, access to Personal Data, and administrative actions, are logged. Logs are protected against tampering, retained for a defined period, and monitored for anomalous activity.
Vulnerability management Production systems are scanned for vulnerabilities on a regular basis. Vulnerabilities are remediated according to a risk-based schedule. Third-party penetration testing of the production Services is performed periodically.
Secure development Code changes are subject to peer review and automated testing before deployment. Dependencies are monitored for known vulnerabilities. Production and non-production environments are separated, and production Personal Data is not used in non-production environments.
Network security Production networks are segmented and protected by firewalls and access control lists. Administrative access is restricted to authorized networks or secured remote access.
Pseudonymization and segregation Where operationally feasible, Biometric Data is stored separately from directly identifying data and referenced by internal identifiers rather than by End User name.
Availability and resilience The Services are deployed across redundant infrastructure. Encrypted backups are taken regularly and stored separately from production. Disaster recovery procedures are documented and tested periodically.
Incident response HL Hunt maintains a documented incident response plan that defines roles, escalation paths, investigation procedures, containment and remediation steps, and notification procedures consistent with Section 10. The plan is reviewed at least annually.
Personnel security Personnel with access to Personal Data undergo background screening where permitted by law, are bound by written confidentiality obligations, and complete security and privacy awareness training upon hire and periodically thereafter.
Vendor management Sub-Processors are assessed for security and privacy practices before engagement and periodically thereafter, and are bound by written agreements in accordance with Section 11.
Data minimization and retention Personal Data is collected only to the extent necessary to perform Verification Sessions and is retained and destroyed in accordance with the Retention Schedule in Annex 4.
Data destruction Personal Data is destroyed using cryptographic erasure, secure overwriting, or other methods consistent with NIST Special Publication 800-88. Certificates of destruction are available upon request.
Assistance to Controller Dashboard and API functionality enables Customer to access, export, and delete Verification Records for identified End Users, supporting Customer's response to Data Subject requests.
